Animal Husbandry & Welfare Assistant (Part Time) - in the Kennels at our Liverpool shelter

Job includes general cleaning of kennel blocks/exercise yards, feeding, medicating (where appropriate) and exercising of dogs. Storage and rotation of food stuffs etc.

Full details will be given at interview.

16 hours per week, plus 16 hours non-guaranteed overtime. Flexibility and availability essential!

Position will include early starts. Minimum Wage. Own transport essential.

Please note: This is a fast paced and physically demanding job requiring stamina and a good level of physical fitness.

Job Title: Office Support Administrator

Location: Freshfields Animal Rescue, Wales

Reports to: General Manager

Purpose of role

The Administrative (or Office) Support role provides vital support to the General Manager. It helps organise office tasks, ensures they serve as gatekeepers on various administrative processes and provide the rest of the staff with information and support on employment related issues. The role will be responsible for generating various reports on a regular basis – financial, staff, etc.

Working Hours: 35 hours per week (Mon – Fri, 9am – 5pm)

General Duties

Daily management of the General Manager’s workload. Prioritise diaries and appointments.
Serving as the point of contact with service and goods suppliers.
Maintaining set of reports, to be generated and delivered to the Trustees, whilst sticking to stringent deadlines.
Monitor and maintain manual filing systems for all general correspondence and records to ensure they are accurate, relevant and up to date and readily accessible.
Research ways to minimise organisational spending by looking into suppliers that offer better deals.
Ensuring all electronic record and animal detail systems are up-to-date and utilising them in their daily work to ensure proper controls are in place.
Process and file weekly animal reporting reports.
Disseminate to staff any new policies and procedures.
Verify invoices before processing them for payment. Where those invoice are vet related, to ensure each Head of Unit has verified them in a timely manner.
Send reports for any staffing changes and send the weekly timesheets.
Ensure Head of Units are compliant with the check and balances they have to perform for food ordering, staffing and vet invoicing.
Ensure staff information is up to date and store in accordance with the Data Protection requirements.
Provide staff with answers to any HR related queries they might have or pass them on to the HR Business Partner in a timely fashion.
Ensure new staff sign contracts and all other supporting information.



Confidentiality must be observed at all times.

Good typing/word processing skills.

Previous substantive experience of working in a secretarial environment, and competent in dealing with staff at all levels within an organisation will be an indicator of a candidate's range of acquired skills.

Comprehensive understanding of computer packages, to include word processing, spreadsheets, power-point and conversant with email.

With a previous experience in HR or Personnel related support roles with understanding of current employment legislation.

Understanding of basic financial terms and operations and experience in using online banking.

The duties in this role profile are not exhaustive and will be reviewed annually.
